Summer Camp Policies and Procedures during COVID-19 

WE ARE OPERATING OUR CAMPS BASED ON THE GUIDELINES PROVIDED BY GALLATIN COUNTY HEALTH DEPARTMENT THAT DETERMINES THE NUMBER OF KIDS WE CAN SERVE IN OUR CAMPS. WE HAVE REDUCED OUR CAMP CAPACITY FOR THE SUMMER AT THIS TIME. WE ENCOURAGE YOU TO PUT YOUR KIDS ON THE WAITLIST IN CASE WE ARE ABLE TO INCREASE OUR CAMP NUMBERS. 

 

Some of our greatest memories we create as kids happen in the summertime. These days, children can spend an entire day inside distracted by cell phones and video games — but REAL summer fun happens with other kids!

Day camp provides the opportunity for your child to experience a summer of fun. Give them the chance to uncover a new skill, discover a new passion, or make lifelong friends. With programs designed for preschoolers to teenagers, the possibilities at YMCA day camps are limitless. They’ll be active, engaged, and loving every second!

HOW DO I REGISTER FOR CAMPS

You can register for camps, programs or memberships 1) online at www.gallatinvalleyymca.org or 2) in person at the YMCA. We can not accept registrations via telephone or via email.

WHEN ARE CAMP DEPOSITS and PAYMENTS REQUIRED?

Non-refundable, non-transferable deposits of $25 per week/per camper are required at the time of registration. The remaining balance will be due two weeks prior to the camp start date. If the payment is not made two weeks prior to each camp, your child will be dropped from that session. Acceptable forms of payment are cash, debit card, check, Mastercard, Visa and AmericanExpress. Please note, to receive member pricing, you must be a member at the time of registration and during the duration of the program.

CAN I SET UP AN EFT (BANK DRAFT OPTION) FOR CAMP PAYMENTS?

Yes, we are happy to work with you in advance to set up EFT for camps. To participate in the EFT system, simply provide your checking account or credit card information upon registration. We will automatically draft your account two weeks prior to your camp start date. Please contact the Y to set up a payment schedule

CAN I SET UP A PAYMENT PLAN?

We are happy to work with you to set up auto bank drafts for payment plans. To participate in the auto bank draft system, simply provide your checking account or credit card information to the front desk. Payment plans must be completed prior to the program start date.

DOES THE Y GIVE REFUNDS IF I CANCEL A CAMP?

Deposits are non-transferable (that means you can not transfer your deposit to another camp family or friend) and non-refundable. If you need to cancel a camp, we will credit your account for the amount of the camp minus your non-refundable deposit. All cancellations must be received in writing two weeks prior to the start of camp to receive credit.

WHAT IF I NEED TO CANCEL CAMP?

Written or email notification must be submitted two weeks prior to the camp start date in order to receive a credit minus your non-refundable deposit.

CAN I SWITCH MY DEPOSIT TO ANOTHER WEEK OF CAMP?

No, if you are unable to attend the week of camp you registered for, you can not move your deposit to another week of camp. If space is available you may register for other weeks of camp.

WHAT IF MY CHILD WILL MISS DAYS OF A CAMP?

Attendance is the responsibility of the participants. Credits or make-ups will not be issued.

CAN MY CHILD SWITCH DAYS IN THE 3 or 4 DAY PROGRAMS?

No, if you have enrolled in our 3 or 4 days per week camp program, you must specify the days you will be attending camp in advance. Changes may not be made to your pre-selected days. Credits will not be given if you do not attend the days you have pre-selected.

WHAT SHOULD MY CHILD BRING TO CAMP?

We ask that all campers bring a water bottle (we have very active days and campers get thirsty), sunscreen, swimsuit & towel and a backpack for belongings as well as their own face mask and hand sanitizer if they already have their own. Shoes to run around in only (NO FLIP FLOPS), as we do lots of walking and hiking. We also ask that campers not bring electronics, cell phones or personal play items. We work hard to ensure that all campers eat healthy and nutritious foods during the day and ask that sodas, juices and energy drinks not be brought to camp.

WHAT IS THE SCHEDULE FOR CAMP?

Each Thursday, prior to your camp starting, we send out a weekly schedule along with a breakfast/lunch menu to the email we have on file for you. PLEASE BE SURE YOUR ACCOUNT (and your child’s) IS UP-T0-DATE WITH YOUR CURRENT EMAIL AND PHONE NUMBER SO THAT YOU RECEIVE THE INFORMATION. Please check your trash or spam folder as sometimes these emails get sent to your SPAM file. If you do not receive a pre-camp email please contact the Y.

IS THERE A DISCOUNT IF MY CHILD DOESN’T EAT THE MEALS YOU PROVIDE?

You are welcome to send meals from home, but there is no discount on the camp fee. We do ask that if you send food from home that is healthy and nutritious and that you avoid sending soda, candy or “junk food”.

WILL MY CHILD NEED TO WEAR A FACE MASK?

Children will not be required to wear masks at camp with the exception of while they are riding on the buses. If you feel strongly about your child wearing a mask at camp we will work with them to wear their mask throughout the day.

WHAT ARE YOUR GROUP SIZES?

Each location will be at a capacity of fewer than 50 individuals (campers and camp staff). Each classroom will have 12 campers to 1-2 staff

HOW WILL YOU BE SOCIAL DISTANCING AT CAMP?

Our main goal is to limit shared touchpoints. We have invested in games that will keep campers playing but without having to share pieces in order to play together, as well as separated out supplies so each camper will be given their own supplies (crayons, scissors, beads, etc.) for the duration of camp.

WHAT ARE YOUR CLEANING PROTOCOLS?

We will be keeping a regular schedule of hand washing between all activities, as well as meals/snacks. Campers are required to sanitize hands upon arrival and departure each day. We will be sanitizing all multi-exposure surfaces throughout the day (tables, door knobs, toilets, chairs, etc.)
